Terms & Conditions

Service Provider: Ariel Cars  |  Effective Date: 28 November 2025

1. Eligibility & Documents

To rent a vehicle, you must:

  • Be at least 18+ years for bikes/scooters and 21+ years for cars.
  • Hold a valid driving licence with at least 1 year of driving experience.
  • Provide a valid government ID (Aadhaar / PAN / Voter ID / Passport).

International renters must provide:

  • Valid passport, and
  • International Driving Permit (IDP) or a locally valid driving licence.

2. Security Deposit

  • A refundable security deposit is mandatory for all self drive rentals (cars & bikes).
  • The deposit is refunded within 7–14 working days after safe return and inspection.
  • Deductions may be made for:
    • Vehicle damage or accident (as per assessment and insurance terms).
    • Fuel shortage compared to the initial level.
    • Pending traffic challans, tolls or parking fines during the rental period.
    • Cleaning charges for excessive dirt, stains or smell.
    • Loss/damage of keys, documents or accessories.
    • Late return beyond agreed time.

3. Booking & Payment

  • Bookings may require up to 100% advance payment to confirm the vehicle.
  • Bookings are non-transferable to another person without our approval.
  • Accepted payment modes include UPI, bank transfer, card or other methods approved by the Company.
  • Booking details and invoice may be shared via SMS, WhatsApp or email.

4. Cancellation & Refund Policy

If you cancel your booking, refunds (if applicable) will be processed as per the schedule below:

  • 72 hours or more before pickup: 90% refund
  • 48–72 hours before pickup: 70% refund
  • 24–48 hours before pickup: 40% refund
  • Less than 24 hours before pickup or no-show: No refund

Payment gateway charges, convenience fees and any non-refundable add-ons will not be refunded. The Company may allow rescheduling at its discretion, subject to availability and charges.

5. Vehicle Handover & Return

  • Vehicle is handed over only after successful document verification and payment confirmation.
  • Renter must inspect the vehicle at pickup and report any visible damage before leaving.
  • Return must be at the agreed date, time and location unless rescheduled with prior approval.
  • Fuel level at return should match the level at pickup (or the minimum specified level).
  • Vehicle should be returned in reasonably clean condition, free from excessive dirt or litter.

6. Permitted Usage

Our vehicles may be used for:

  • Personal or family travel.
  • Tourist and leisure trips.
  • Corporate or official travel.

They must not be used for:

  • Commercial taxi operations (unless explicitly allowed in writing).
  • Racing, speed-testing, stunt riding or off-roading.
  • Any illegal, unsafe or prohibited activities.

Travel outside permitted route or state boundaries must be informed in advance and is subject to our approval.

7. Prohibited Activities

The renter must not:

  • Drive under the influence of alcohol, narcotics or any banned substance.
  • Allow anyone without a valid licence to drive the vehicle.
  • Overload the vehicle beyond the permitted seating or weight capacity.
  • Tamper with odometer, GPS, tracking devices or vehicle electronics.
  • Use the vehicle for towing, pushing, or transporting hazardous materials.

Any violation may lead to immediate termination of rental, forfeiture of deposit and legal action if required.

8. Accident, Damage & Liability

  • In case of accident, theft or major damage, you must:
    • Inform the Company immediately.
    • Inform local police and obtain a report where applicable.
  • All vehicles are covered by motor insurance as per law, but:
    • You are responsible for paying deductibles, penalties or charges not covered by insurance.
    • Damage due to negligence, drunk driving, off-roading or rule violations is fully renter’s responsibility.
  • The Company is not liable for:
    • Personal injury, loss of life, or property damage caused by your driving behaviour.
    • Delays due to traffic, weather, breakdowns or events beyond our control.

9. Fuel Policy

  • Vehicles are provided with a minimum fuel level sufficient to reach nearby fuel stations, unless otherwise stated.
  • Renter must refuel as needed during the trip.
  • If the vehicle is returned with significantly less fuel than at pickup, the Company may refuel and deduct the fuel cost plus a service charge from the deposit or final bill.

10. Traffic Violations, Fines & Tolls

  • The renter is fully responsible for all traffic violations, e-challans, parking fines, towing charges and tolls incurred during the rental period.
  • If such fines are received after the trip, the Company may pay and recover the amount from the renter through the security deposit or future billing.

11. Accessories & Documents

The vehicle may be supplied with items such as helmets (for bikes), toolkit, jack, spare tyre, music system, documents, etc.

  • All supplied items must be returned in good condition.
  • Loss, theft or damage of accessories, keys or documents will be charged to the renter.

12. Pick-up & Drop / Taxi Services

  • For chauffeur-driven or cab services, our drivers are authorised and instructed to drive safely and follow traffic rules.
  • Waiting charges and extra kilometre charges may apply beyond the limits mentioned at the time of booking.
  • Rude behaviour, abuse or unsafe instructions to the driver are strictly prohibited and may lead to trip cancellation without refund.

13. Jurisdiction

These Terms are governed by the laws of India. Any dispute shall be subject to the exclusive jurisdiction of courts located in North Lakhimpur, Assam, or as otherwise specified by applicable law.

14. Privacy & Data Protection

  • We collect and store your personal and KYC documents only for verification and legal purposes.
  • Your data will not be sold or shared with unauthorised third parties, except when required by law or law enforcement.
  • Digital copies may be securely stored for a limited period as per operational and legal requirements.

15. Changes to These Terms

The Company reserves the right to modify, update or replace any part of these Terms at any time without prior individual notice. Updated Terms will be posted on our website. Continued use of our services after changes implies your acceptance of the revised Terms.
